Staff Scheduling Basics for Small Teams

A rota only works if customers can book into it. The practical approach is to build the schedule from what each person can actually work, then let the booking page fill the gaps.

Start from real availability

Map the normal working days and hours for each person before anything else. A rota built on an ideal week that nobody actually works produces complaints and cancellations later.

Set rules per staff member

People work different days, deliver different services and need different amounts of time between appointments. Capture that as individual rules rather than one blanket schedule.

  • Working days and hours
  • Services they are qualified to deliver
  • Any fixed commitments such as training
  • Maximum appointments per day if relevant

Enter time off early

Holidays, training days and sickness should be entered before customers can book over them. A single missed block of time off usually costs more to put right than a few minutes of scheduling.

Use buffers between appointments

A short buffer between bookings absorbs overruns and gives staff a moment to reset. Without one, a long appointment pushes every booking after it into conflict.

Avoid double-bookings by letting the diary decide

Booked slots should disappear from the public page immediately, and two people should not be offered the same overlapping slot unless you deliberately allow it. Manual patching of clashes is a sign the underlying rules need fixing.

Review the rota weekly

Look at where the diary was overfull, where slots went unused and which staff were repeatedly double-booked. Adjust the rules rather than patching individual days.
