Reduce No-Shows With a Manage Booking Link

Reminders tell customers an appointment is coming. A manage link gives them somewhere to go when something changes, which is often the real reason appointments are missed.

Why another reminder has limits

If a customer cannot attend, repeating the same message does not change the outcome. The useful question is whether they can act on the conflict in the few seconds they notice it.

What the link should let them do

Reschedule into another available slot and cancel with a clear reason, both without phoning. Every option you remove ends up as a call, a message or a no-show.

Where to place the link

Put it everywhere the appointment is confirmed, so it is one tap away whenever the customer checks the details.

  • Booking confirmation email and confirmation screen
  • Every reminder message
  • Calendar invite or appointment confirmation
  • Follow-up message after a reschedule

Set fair cancellation rules

A notice period is reasonable; making cancellation difficult is not. Publish the rule on the booking page so customers see it before they book rather than when they want to change.

Show the details on the manage page

Include the business name, address, contact number, service, preparation notes and the cancellation policy. A customer who opens the link should not need a second source of truth.

Watch what happens to the diary

Over time, compare reschedules and cancellations against simple no-shows. A shift towards rescheduling means customers are using the link as intended and empty slots are being refilled.
