How to Manage Staff Availability

Staff availability is the foundation of any booking system. If the availability settings do not reflect reality, customers will be offered times that cannot be honoured, leading to confusion, rescheduling and lost trust.

Set working hours for each person

Each team member should have their own working hours: the days they work, the start and end times, and any regular breaks. These form the framework within which appointments can be offered.

If team members work different patterns, the system needs to respect each person's hours individually rather than applying one blanket schedule across the whole team.

Enter time off and holidays

Holidays, training days and one-off absences should be entered into the system before customers can book over them. A single missed block of time off can result in multiple incorrect bookings that take longer to resolve than the few minutes needed to block the time.

Regular reviews of upcoming time off, ideally a month ahead, give the system enough notice to keep availability accurate.

Assign services to specific staff

Not every team member delivers every service. Assigning services to staff members ensures that when a customer selects a service, they are only offered times with someone who can actually provide it.

This also prevents the situation where a customer books a time and then discovers the person they need is not working, which damages confidence in the booking process.

Use buffers and maximum daily limits

Buffer times between appointments absorb overruns and give staff time to prepare or travel. A maximum number of appointments per day prevents the diary from being filled beyond what is achievable.

These settings are particularly important for businesses where appointments overrun easily or where staff fatigue affects service quality towards the end of the day.

Let the diary prevent double-bookings

The most important function of availability management is preventing two customers being offered the same slot. Real-time availability that updates as bookings are made, rescheduled or cancelled is essential for any business taking online bookings.

Manual patching of clashes is a sign that the underlying availability rules need reviewing. The system should catch conflicts before they reach the customer.

Review availability regularly

Working hours, staffing levels and service offerings change over time. A monthly review of availability settings ensures the public booking page reflects the current reality of the business.

Look for patterns: are certain days consistently overbooked? Are there time slots that are never available? These are signals that the availability rules need adjusting.
