appointment booking software
How to Choose Appointment Booking Software
Most booking tools cover the basics. The differences show up in pricing, how customers reach the diary and what happens after the appointment is booked, so it pays to compare on those points first.
Understand the pricing model
Look for a flat monthly subscription rather than a fee per booking. Commission-style pricing grows as the business grows and penalises the busiest weeks.
WAppoint has a free plan for testing the workflow, with paid plans from £19 a month. Compare what each tier actually includes before committing.
Check what you can sell through
A shareable link covers most cases, but an embed keeps customers on your website and a QR code works well in the physical space. Confirm all three are available rather than assuming they are.
- Direct booking link for messages and social profiles
- Embed for your own website
- QR code for printed material and the counter
Reminders and confirmations
Automatic email confirmations should be standard; SMS reminders should be optional and controllable. Check the timing rules and whether customers can reschedule from the message.
Timezone handling
Appointments must be held against the business timezone so a team spread across locations does not shift a booking by an hour, particularly when British Summer Time changes. Ask how the software handles that changeover.
Staff and service flexibility
Different durations, different staff and different prices per service are normal. The software should model your actual diary rather than forcing everything into one template.
Data and exit
Check whether you can export customers and appointments, and how easy it is to cancel. You should not have to negotiate to get your own diary out.
Test with the free plan first
Book from the customer side on a phone, then manage the appointment from the admin side. A short trial exposes more than a feature list ever will.
Read the small print on messages
SMS is usually sold as prepaid credits separate from the subscription. Understand the credit prices, such as 100 for £25, so the total monthly cost stays predictable.
